This Privacy Policy applies to the AI CRM Sales Agent software-as-a-service product (“Service”) offered through Google Cloud Marketplace and directly at aicrmsalesagent.com. It governs how we collect, use, process, and protect information in connection with your use of the Service.
1. Who We Are

2. Scope
This policy covers:
Personal information collected through the Service, our website, and through Google Cloud Marketplace;
Information processed on behalf of enterprise customers (“Customers”) and their authorized end users (“Users”);
Data processed in connection with our integration with Google Cloud infrastructure.
If you are a Customer using the Service through Google Cloud Marketplace, your Customer data is also subject to the Google Cloud Marketplace Privacy Terms and any applicable data processing addendum between you and us.
3. Information We Collect
We collect the following categories of information:
Account and Identity Information: Name, business email address, company name, job title, and contact information provided during registration or onboarding.
CRM and Sales Data: Contact records, deal pipeline data, customer interaction logs, sales activity data, and any other data you input into or generate through the Service.
Usage and Log Data: IP addresses, browser type, operating system, pages visited, feature usage, session duration, and access timestamps, collected automatically when you use the Service.
Communications: Messages, support requests, and feedback you send to us.
Billing and Payment Information: Billing-related data processed through Google Cloud Marketplace or our payment processors. We do not store full payment card numbers.
Google Cloud Account Information: Information provided to us through Google Cloud Marketplace in connection with your subscription, including your Google Cloud project ID and account identifiers.
4. How We Use Your Information
We process personal information solely as necessary to provide and improve the Service, and in accordance with applicable law. Specifically, we use your information to:
Provision, operate, maintain, and support the Service;
Authenticate users and manage account access;
Process payments and manage subscriptions via Google Cloud Marketplace;
Respond to support inquiries and provide customer service;
Send transactional and operational communications (e.g., service updates, security alerts);
Monitor and improve Service performance, security, and reliability;
Comply with legal obligations and enforce our agreements;
Detect and prevent fraud, abuse, or security incidents.
We do not: use your personal information for advertising, behavioral profiling, or targeted advertising. We do not sell or share personal information with third parties for their own marketing purposes.
5. Legal Basis for Processing (GDPR / EEA)
For individuals in the European Economic Area, United Kingdom, or Switzerland, our legal bases for processing personal information are:
Contract performance: Processing necessary to provide the Service you or your organization has subscribed to;
Legitimate interests: Security monitoring, fraud prevention, and service improvement, where such interests are not overridden by your rights;
Legal obligation: Where we are required to process information under applicable law;
Consent: Where we have obtained your affirmative consent for a specific processing purpose.
6. Data Sharing and Disclosure
We do not sell personal information. We may share information with the following categories of recipients only to the extent necessary:
Google Cloud: The Service is hosted on Google Cloud infrastructure. Google's access to data is governed by the Google Cloud Platform Terms and applicable data protection agreements.
Subprocessors: We engage vetted third-party subprocessors (e.g., infrastructure providers, monitoring tools) who are bound by data processing agreements that provide equivalent privacy protections.
Legal Requirements: We may disclose information if required by applicable law, court order, or regulatory authority, or to protect our legal rights.
Business Transfers: In the event of a merger, acquisition, or sale of substantially all assets, personal information may be transferred as part of that transaction, subject to equivalent privacy commitments.
We will notify Customers of any changes to our subprocessor list in accordance with our agreements.
7. Data Retention
We retain personal information for as long as necessary to provide the Service and fulfill the purposes described in this policy, or as required by law. Customer data is retained for the duration of the active subscription and for a reasonable period afterward (not to exceed 90 days) to enable account recovery, after which it is securely deleted or anonymized upon written request. Log and usage data may be retained for up to 12 months for security and operational purposes.
8. Data Security
We implement and maintain industry-standard technical and organizational security measures to protect personal information from unauthorized access, disclosure, alteration, or destruction. These measures include:
Encryption of data in transit (TLS 1.2 or higher) and at rest;
Role-based access controls and least-privilege access principles;
Audit logging of access to sensitive systems;
Regular security assessments and vulnerability management;
Subprocessor due diligence and contractual security requirements.
In the event of a data breach involving your personal information, we will notify you and applicable regulatory authorities as required by law.
9. International Data Transfers
The Service is hosted on Google Cloud infrastructure primarily in the United States. If you are located in the EEA, UK, or other jurisdictions with data transfer restrictions, we rely on appropriate safeguards (such as Standard Contractual Clauses) to govern cross-border transfers of personal information. Upon request, we will provide additional information about our transfer mechanisms.
10. Your Rights
Depending on your jurisdiction, you may have the following rights with respect to your personal information:
Access: Request a copy of the personal information we hold about you;
Correction: Request correction of inaccurate or incomplete data;
Deletion: Request deletion of your personal information, subject to legal and contractual obligations;

12. Children's Privacy
The Service is designed for use by businesses and is not directed to individuals under the age of 18. We do not knowingly collect personal information from minors.
13. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will post the updated policy on our website and, where required, notify you by email or through the Service. The “Last Updated” date at the top of this policy indicates when it was most recently revised. Your continued use of the Service after the effective date of any update constitutes your acceptance of the revised policy.
